The Role

 

This is a part-time (0.6 FTE) fixed-term position until 30 June 2026, based in Port Adelaide as part of our headspace program. Reporting to the Manager, you will collaborate with a supportive and close-knit administration team. As a part of this role, you may be required to backfill other administration positions across the Mental Health and Wellbeing unit at various locations within the Adelaide metropolitan area.

 

This position is ideal for someone early in their administration career who is eager to develop their skills and grow professionally.

 

The key duties in this role will include:

  • Provide welcoming customer service in a professional and pleasant manner
  • Handle incoming calls and route them to appropriate people/programs
  • Schedule, check in, cancel, and reschedule client appointments for various programs as required
  • Receive and process referrals; create hPAI profile, add active episode, create profile in MasterCare, add referral and assign to the appropriate teams
  • Maintain visitor’s books for visitors and/or workers from other sites and services
  • Support managers, staff and clients with other administrative tasks as required

  • Strong attention to detail: You take pride in delivering accurate and thorough work.
  • Excellent communication skills: You can liaise effectively with a diverse range of people, including clients, staff, and external stakeholders.
  • Adaptability: You are comfortable working in different environments and can easily transition between tasks and locations as needed.
  • Proactive mindset: You show initiative and can work independently when required.
  • Computer Literacy: you have excellent computing skills along with Microsoft Office Suite

Desirable:

  • Experience using Mastercare and Athena Penelope electronic client management systems
  • Experience working in the non-for-profit or human services sector
